From School Fairs to Black-Tie Balls: A Day in the Life of Candy Floss Events

There's a moment that happens at almost every event we attend. It's not when the stall goes up, or when the machine starts humming, or even when the first cloud of candy floss twirls off the cone or the first kernel explodes into popcorn. It's a few seconds later, when someone walking past catches the smell, stops mid-conversation, and breaks into a completely involuntary smile.

After years of doing this, that moment never gets old.
We started Candy Floss Events back in 2003 as a family-run business in the North East, and today we serve everything from primary school Christmas fairs in Marske to black-tie university balls at Hardwick Hall Hotel. No two events are quite the same, and that's exactly what keeps us going. So I thought it was about time I pulled back the curtain and showed you what a typical week and a typical day actually looks like for us.
The Week Before: More Planning Than People Realise
Most people think candy floss and popcorn hire is a simple case of turning up with a machine. In reality, a week before each event we're confirming power supply requirements (we run on standard 13-amp sockets, but every venue is different), reviewing our food allergy information sheets, double-checking our PAT testing certificates and public liability insurance documentation, and making sure all our food hygiene paperwork is in order.
We hold a 5-star food hygiene rating and £5 million in public liability insurance — not because we have to, but because our clients deserve that reassurance. Whether it's a school safeguarding coordinator or a university events manager, people need to know everything is properly covered before we arrive.

The Morning: Loading Up and Heading Out
A typical event day starts early. The van gets loaded, machine, stall, sugar supplies, cones, bags, serving equipment and I do a final check before we leave. For school fairs, we're often setting up by mid-morning to be ready when the gates open. For evening university balls, the setup window might not start until 6pm, but we'll still spend the afternoon prepping and organising so there's no rush.
One of the things I'm proudest of is our punctuality. We always arrive with enough time to have everything hot, clean, and ready before the first guest arrives. There's nothing worse than a stall that's still getting set up when the doors open — that's not the experience we're in the business of providing.
The Event: Where the Magic Happens
We might be at Outwood Academy Bydales in Marske for their school Christmas fair, a completely different kind of event to the day before, when we'd been serving unlimited candy floss and popcorn at the Stephenson College Winter Ball at Hardwick Hall Hotel. Same passion, same standards, totally different atmosphere.
At a school fair, it's all about the energy of excited kids, the chaos of a busy hall, the joy of watching a seven-year-old taste candy floss for what might genuinely be the first time. At a black-tie ball, it's couples in evening wear sneaking over to the stall at 11pm, laughing and trying not to get sugar on their outfits.
That contrast is something we genuinely love. Candy floss and popcorn have this unique quality — they're completely at home in both worlds. There's nothing stuffy about them, but there's also nothing cheap about them when they're done properly.
We operate our stall throughout every event. We don't drop off a machine and leave, we're there, spinning, serving, chatting, and keeping everything spotless. When you hire Candy Floss Events, you get people who care about your event as much as you do.

The Charity Side: Something We're Quietly Proud Of
One thing we don't shout about enough is what happens we attend fairs and school charitys to sell. We donate % of our profits from fairs we attend to there charity. It's something that's been part of how we operate for years, and it feels right. These community events bring people together, and we want to give something back to the communities that have supported us for over two decades.
The Pack-Down: The Part Nobody Photographs
When the last guest has gone and the hall lights come back on, we pack up every trace of ourselves. The stall, the equipment, every bit of packaging, we leave venues exactly as we found them. It's one of those things that never makes an Instagram post, but it matters to venue managers and event organisers more than almost anything else.
We've built long-term relationships with schools, universities, and event organisers across Newcastle, Durham, Sunderland, Northumberland, and beyond, and a big part of that comes down to being reliable, tidy, and easy to work with.
Why We Do It
People sometimes ask whether, after decades, the novelty wears off. It genuinely doesn't. There's something about the nature of what we do; it's celebratory by definition. We used to say nobody hires a candy floss stall for a sad occasion. Well, until we have catered a funeral! But honestly? It was a beautiful celebration of life, and it turns out a bit of sweet nostalgia is exactly what people needed. For the most part, though, we're there on the good days, the special days, the days people are going to remember.
That's a privilege, and we don't take it lightly.
